Job purpose


The HR Generalist/Benefits Administrator is responsible for the administration and management of employee benefits programs across our company. The primary mission of this role is to move the business forward through the successful implementation of our benefit programs that enhance our employee experience and provide cost effective analysis. The HR Generalist/Benefits Administrator will secondarily have other HR responsibilities.

The Benefits Administrator will work cross-functionally with other critical areas of the business including recruiting, finance, and business operations as well as with external benefit and compensation vendors, benefit administrators, government compliance organizations, and any resource that helps to drive a success product for our organization.

Duties and responsibilities

  • Manage the administration of benefit plans including but not limited to: 401(k), medical, dental, vision, disability, life insurance plans, flex spending accounts, health savings accounts, employee assistance programs and COBRA
  • Partners with outside benefits broker for complex issues, management of claim issues, and recommendations related to compliance and efficiency in administering benefit plans for Pine.
  • Maintain benefit plan compliance with applicable regulatory entities. Ensure all government-mandated reports are prepared and submitted in a timely manner.  Ensure all required notices are sent out in a timely manner.
  • Coordinates 401K plan requirements with HR, payroll and senior management.
  • Create and monitor the structure and processes necessary to manage benefit plans in an efficient and cost effective manner
  • Responsible for managing the input and auditing of employee benefits data in HRIS and coordinating the transfer of data to external vendors, plan providers, auditors, and consultants
  • Administers workers compensation and employee leaves (FMLA, CFRA, personal leave of absence)
  • Evaluates and manages third party servicers. Monitors vendor service levels
  • Collects and analyzes experience data from available resources
  • Review and reconcile vendor invoices. Prepares required reports for accurate payment and allocation of benefit costs
  • Back up to payroll administrator; accurate and timely electronic timesheet review and approval; payroll exception administration; payroll processing.
  • Ensure complete and timely benefits record keeping
  • Assists employees with benefit related matters in a professional, timely and effective manner.
  • Assist with writing and editing HR and benefits policies and procedures.
  • Ensure (with payroll) HRIS data integrity; update data changes in ADP Workforce Now
  • Special projects, as assigned.
  • Effectively communicates Company benefit information to employees including group presentations such as benefit orientations, open enrollment and benefit updates
  • Audits benefit plans for compliance with government regulations, benefit program trends, and prevailing practices
  • Other duties as assigned

The person must possess strong business acumen, solid analytical skills, excellent knowledge of benefits administration processes, knowledge of benefit contract language, factors that influence the cost of employee benefits, pertinent federal and state regulations, filing and compliance requirement affecting employee benefit programs and compensation laws and requirements. The incumbent must demonstrate a working knowledge of the relationship between Benefits Administration, Payroll, and Human Resources.

Education and/or Experience

  • BS/BA degree in business, finance, human resources or equivalent experience is required. CEBS professional designation preferred.  SHRM-CP a strong plus.
  • Minimum 5 years of direct applicable experience in administration of benefit programs, including 401K and medical benefits
  • Demonstrated knowledge of commonly-used concepts, best practices, and procedures within benefits administration
  • Demonstrated effective verbal and written communication skills
  • Proven ability to prioritize for timely completion of large, concurrent projects with minimal supervision.
  • Demonstrated knowledge of U.S. benefit and employment laws/regulation; familiarity with compensation laws
  • Experience with Canadian benefit plans a strong plus
  • Proven ability to maintain highly confidential information
  • Experience with ADP Workforce Now or similar HRIS system preferred
