Haverford College seeks to hire a full time, exempt, fully benefits eligible Human Resources and HCM Coordinator. The Human Resources & HCM Coordinator (HR/HCMC) is responsible for three key areas in the Office of Human Resources, which include student employment, human resources information system/human capital management system (HRIS/HCM), and HR office administrative serves.

Majority Primary Function: Primary liaison for Student Employment Program (SEP - 34%), Human Capital Management (HCM) Workday support (33%), and HR office administrative services (33%)

1.    HR Student Employment Coordinator- is a high volume role serving as the primary student employment program (SEP) point of contact. The SEP Program provides service and guidance for both student workers during the academic year and summer workers during the summer break. Close collaboration with the payroll accountant responsible for student pay will be a key element of this role.

•    Responsible for day to day communications with current/incoming student workers, summer workers, and student/summer worker managers about SEP processes, onboarding, and SEP policies including pay structure; assist/train managers how to independently hire students in Workday

•    Serve as primary contact for hiring, adding jobs, and creating supervisory organizations for student/summer workers in Workday; collecting and processing I-9 documentation

•    Develop and deliver SEP employment training, i.e. harassment, work protocol, etc. Assist in creating communication strategy both electronic and hardcopy for the SEP program

•    Work closely in partnership with payroll and the career counseling center to facilitate SEP pay discrepancies and  job postings; work with assistant dean of international student services regarding international student workers

•    Provide oversight to HR student worker  who will support the SEP Coordinator/program with collecting, filing, and updating I-9s, create student worker files, assist student workers inquiries regarding Workday or other general information; collect managers SEP forms/employment applications to organize, file, and compile data for WD upload/use


2.    HCM Area of Responsibility primary focus to support the maintenance of Workday, the human capital management/HR system. The coordinator is responsible for overseeing human resources departmental activities including: data entry, HRIS reporting including IPEDS, and administrative support. This role provides ongoing system support and is responsible for data accuracy, problem solving, reporting, and data analysis.

•    Collaborate with IITS, payroll, and the business office to understand and translate business processes/requirements per HR policies/compliances into formal configuration;
create and review mass updates to data (EIBs), update/create notifications, enrollment instructions, assist with open enrollment set up, and drive implementation of second phase of Workday talent management and potential future enhancements

•    Responsible for the administrative and end user support of Workday including Core HCM, talent management; provide HCM support for HR staff, payroll colleagues, and campus community and responsible for creating and maintaining employee photos

•    Ensure data integrity of the HRIS systems through audit, review, updates and maintenance

•    Serve as HR Office WD reports specialist.  Create, run, maintain, and distribute routine/ad hoc reports. Propose and develop reporting and analysis that empower our employees/HR constituents to make more informed business decisions. Responsible for collecting/processing federal/state regulated reports for EEO, New Hires, Veterans, IPEDS, and other customized reports on a timely basis as needed. 

•    Assist all employees with any Workday related questions including onboarding documentation; process all employee and organizational changes

3.    HR Administrative Services serves as the critical first point of contact for the Office of Human Resources including performing a variety of daily administrative and clerical tasks   supporting the office/staff

•    Provide excellent customer service for the Office of Human Resources to include responding to emails on behalf of the executive director and drafting department communication, answering inquiries concerning employment opportunities with the College, general benefits info, and answering routine questions from students, employees, and vendors/visitors to campus

•    Oversee a variety of office tasks of a general nature, routine/recurring, including maintaining confidential personnel files and records; ordering office supplies; opens, date stamps, and distributes incoming mail for the HR Office; scheduling appointments and meetings, and maintaining electronic I-9 forms via Workday for all employees and student workers; and communicate new hire/term notifications (will change once WD notifications are created)

•    Verify verbal and written employments of verification for all employees

•    Manage the Executive Director’s expense reports and scheduling of appointments/calendar; coordinates scheduling for HR professional development training, benefits fair, 403b retirement sessions, exit interviews and other HR events

•    Assist the Executive Director, Directors, and Acquisitions Manager with various tasks, as necessary, and assist with various HR projects as necessary, i.e. Benefits Fair, Annual Thanksgiving Basket Contest, etc.


Line of Report: The Human Resources & HCM Coordinator (HR/HCMC) reports directly to the Executive Director & Chief Human Resources Officer The (HR/HCMC) does not have any staff reporting directly to them.

Requirements

Required Education and Experience

  • A bachelor's degree in human resources, business administration, or related field is required.
  • Experience in a higher education environment strongly preferred.
  • Candidate must have 3-5 years' of extensive knowledge of general human experience including federal, state, and local compliance; human resources information system (HRIS)/human capital management (HCM) experience. Specific Workday system experience is highly preferred.
  • Comprehensive understanding of HRIS/HCM function, design, and strong reporting capabilities
  • Must have comprehensive HR generalist experience, understanding federal, state, local labor law compliances
  • Possess excellent customer service, organizational and communication written and verbal skills
  • Extensive knowledge of Microsoft Suite, with expert knowledge of Excel
  • Possess the ability to make informed decisions on system uploads and system use
  • Ability to perform with accuracy and attention to detail
  • Be able to handle high stress and high volume situations
  • Must be able to multi-task and to prioritize work effectively and efficiently
