The Fine Arts Museums of San Francisco are seeking a Human Resources Coordinator. The Human Resources Coordinator is primarily responsible for processing all new hire, termination, and change information for employees from benefits enrollments to payroll coordination. This position requires an extremely organized person who is flexible and customer-service oriented.


Typical Duties and Responsibilities: 

  1. Coordinates the selection and recruitment process with the HR Generalist and hiring managers. Posts jobs internally and externally, conducts telephone screens, conducts reference checks, and coordinates the interview process with testing and interviewing of candidates. Prepares all materials necessary for the interview. 
  2. Processes all benefits enrollments and changes by using the benefit carriers' web-based eligibility site. Updates all changes in HRIS and communicates information to Payroll. Manages the COBRA benefits continuation process.
  3. Communicates all staff changes to the Payroll department. Verifies the data entry into the HRIS database before sending information to Payroll. Tracks due dates for step increases, employment extensions, and fixed-term appointments; communicates those changes to staff and Payroll.
  4. Supports administration of HRIS (ADP Workforce Now.) Ensures the data integrity by regularly running audit reports and cleaning up data. 
  5. Prepares monthly reports for union representative. 
  6. Works with IT and Facilities departments to prepare for new hires; creates badges and ID cards; orders business cards. 
  7. Prepares separation packets for regular and temporary employees including all benefits and COBRA information. Processes all terminations in ADP, benefits enrollments, and payroll processing. 
  8. Assists with employee events, wellness programming, and training coordination. 
  9. Assists with Leave of Absence administration including processing requests for FMLA and workers' compensation. Tracks leaves and communications to employees.

The Fine Arts Museums of San Francisco are the city's largest public arts institutions and comprise the de Young and the Legion of Honor museums. The de Young, designed by Herzog & de Meuron and located in Golden Gate Park, showcases American art from the 17th through the 21st centuries, international contemporary art, textiles and costumes, and art from the Americas, the Pacific, and Africa. The Legion of Honor displays a collection of over 4,000 years of ancient and European art including Auguste Rodin's The Thinker and houses the Achenbach Foundation for Graphic Arts in a Beaux-Arts style building overlooking Lincoln Park and the Golden Gate Bridge.

Education and Training: A Bachelor's degree from an accredited college or university. 

Work Experience: Minimum of two years experience in human resources. Experience in the human resources department of a non-profit or cultural institution preferred.  

Skills and Abilities: 

  • Proficiency in MS Office and HRIS, and experience using recruiting software.
  • Ability to use good judgment in applying established methods or procedures.
  • Performs clerical and sub-professional personnel duties with a high degree of accuracy.
  • Ability to deal effectively and courteously with staff.
  • Ability to use professional judgment in the dissemination of information and the holding of confidentiality.
  • Must be analytical, organized, detail oriented, and able to problem solve and respond to shifting priorities and deadlines. Must be able to multi-task and provide excellent customer service.
  • Experience in a union environment desirable.
  • Knowledgeable of CA employment and labor laws and hiring best practices.
  • Ability to foster collaborative relationships through flexibility and teamwork.
  • Energetic, positive, engaging, and approachable demeanor.
  • Strong written and oral communication skills.
  • Self-starter who values personal accountability.
