Position Summary:

Management and maintenance of benefit records and documents. Responsible for keeping up with current benefit bylaws, best practices, changing regulations and procedures regarding the Benefits Administration.  Perform weekly audits on invoices related to Benefits insurance carriers for Out-of-State employees. Vendor Management. Assist in processing and managing new hire paperwork regarding Benefits, terminations, and name/address changes.

Responsibilities and Duties:

  • Management of the benefit plan renewal process and negotiation with vendor or administrator for renewal.
  • Manage the development of communication tools to enhance understanding of the company’s benefits package. Create and conduct presentations.
  • Serve as the primary contact for plan vendors and administrators related to group health, group life, dental, vision, and flexible fringe benefits. Coordinate transfer of data to external contacts. Work effectively to make sure plans run smoothly. 
  • Review with new employees the benefit plans through email and outreach phone calls.
  • In a timely manner, assists with processing enrollments, COBRA, employee terminations, staff changes, beneficiary updates, disability claims, accident and death claims, and other requests as needed.
  • Prepare and assist with the distribution of the initial COBRA notice to all new hires as needed.
  • Ensuring CrossCountry Mortgage is meeting state and federal compliancy re: COBRA, FMLA, HSA, and Worker’s Compensation.
  • Prepare and assist with the distribution of benefit plan materials to employees.
  • Evaluate and revise internal processes to reduce costs and increase departmental efficiency.
  • Assure timeliness and accuracy of required filings.
  • Assist with the updating of online enrollment system for accuracy.
  • Assist with plan audits as necessary.
  • Assist with benefits billing. Reconcile all group life, dental, vision, flexible fringe benefits bills for out-of-state. Resolve all billing discrepancies.
  • Assist with updating database with new census information weekly.
  • Respond to benefits inquires within 24 hours of receiving the request. 
  • Escalate complex benefits questions to the Benefits Supervisor or to the appropriate vendor or health carrier.
  • Maintain and update payroll records related to Benefits Administration.
  • Ensure we maintain adequate FMLA and Worker’s Compensation employee files.
  • Responsible for maintaining accurate employee records related to paid and unpaid FMLA, Medical and any other Leave.
  • Administer employee benefits programs such as retirement plans (401K); medical, dental, vision plans; life insurance plans; temporary disability programs; and wellness programs.
  • Perform special projects and other duties as assigned.
  • Assist with payroll verification of checks.
  • Assist with 5500 reports and IRS filing procedures.
  • Ability to operate standard clerical equipment.

 

Requirements

Education/Experience/Certifications

  • Bachelor’s Degree from an accredited College or University (preferred).
  • Certified Employee Benefits Specialist (CEBS) (preferred).
  • 5 years of experience in processing employee benefits.
  • Management experience, managing at least one employee.

 Required Knowledge, Skills, and Abilities (KSAs)

  • Strong visionary skills with the ability to analyze data and provide recommendations for future growth regarding organizational goals and objectives of benefits administration.
  • Excellent leadership skills with the ability to develop and maintain HR benefits.
  • Excellent knowledge of employee benefits and programs.
  • Extensive knowledge of current events and new legislation, especially as it relates to benefits.
  • Experience managing benefits broker and health carriers’ relationships.
  • Advance knowledge of computer programs, including Microsoft office.
  • Excellent verbal and written communication skills, with the ability to communicate with employees and their eligible dependents.
  • Ability to develop and maintain effective internal and external working relationships.
  • Ability to manage multiple priorities effectively with little supervision.
  • Self-starter who takes the initiative to proactively address employee issues and/or concerns. 
  • Excellent attention to detail and follow-up.
  • Employee benefits or related experience with 1000+ employee base. (preferred)
  • Experience maintaining and supporting open enrollment and employee changes (life changing event) for 1,000 employees or more (preferred)
