Job Summary:

The HR Associate is responsible for the management and oversight of the Council’s day-to-day facilities matters and for providing administrative support to the Human Resources function. The HR Associate will routinely respond to inquiries from employees regarding facilities, benefits, and policy administration, and is expected to maintain confidentiality of organizational and human resources-related information at all times.

Duties and Responsibilities:

  • Performs a wide range of duties relative to the maintenance and processing of personnel records and reports in HRIS
  • Identifies and executes on opportunities to improve the efficiency and effectiveness of the Council’s office functions, developing tools to improve processes and streamline operations
  • Posts positions to job boards, reviews résumés, submits background checks and completes reference checks
  • Assists with running the summer internship program; attend recruiting events, post jobs, review applications, interview applicants, coordinate summer programming
  • Secondary Payroll Administrator including processes, verification and input
  • Assemble new hire orientation packets, assists with new hire orientation
  • Maintains high standards of confidentiality of all employee records and information
  • Reviews, reconciles, and approves monthly invoices from HR vendors
  • Conducts day-to-day facilities-related tasks (validates guest parking, submits maintenance orders, sort and distribute mail, send and prepare packaged, etc.)
  • Manages office closure procedures (ensures phone system, website, and e-mail protocols are up-to-date, does final walkthrough of office)
  • Coordinates the purchase of office supplies, furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
  • Conducts the maintenance of office areas, supplies, and equipment (including copiers, fax machines, etc.)
  • Coordinates and plans staff events; order food, coordinate with caterers, setup and take down of events
  • Plans and coordinates monthly All-Staff meetings

Requirements

Education and Experience:

  • Undergraduate degree required
  • Two years of human resources or operations experience preferred; equivalent educational or work experience acceptable

 Knowledge, Skills and Abilities:

  • Proven ability to multi-task and prioritize responsibilities in fast-paced work environment deliverables.
  • Attention to detail, accuracy, strong ability to multitask and excellent organizational skills.
  • Ability to handle sensitive and confidential information.
  • Ability to learn quickly, to respond/react quickly to changing priorities and to be dedicated to completion of required tasks. Ability to initiate and complete tasks with minimum supervision.
  • Excellent oral and written communications skills.
  • Exceptional time management and organization skills.
  • Personable, productive, organized and customer-focused with a “can-do” attitude.
  • Strong proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
