Summary Description: The Human Resources Coordinator provides assistance with and facilitates the human resource processes of the organization while overseeing the payroll administration under general direction from the CAO. The key to success in this position is a high level of organization and keen attention to detail. This role administers employee health and wellness plans and acts as a liaison between employees, a benefit broker, and insurance providers. Sixty percent (60%) of the employee’s time is spent on benefits administration, coordinating recruitment & on-boarding efforts, and providing administrative support to the human resources function as needed, including record-keeping, file maintenance and HRIS entry. Forty percent (40%) of the employee’s time is spent planning, coordinating and administering the functions of payroll.

Essential Duties:

  • Administer health and wellness plans, including enrollments, changes and terminations. Process required documents through payroll and insurance providers to ensure accurate record-keeping and proper payroll deductions;
  • Assist with employee questions about how to best utilize the benefits program offered by AAUW and act as a liaison between employee and broker’s office to facilitate claims assistance;
  • Manage Smart Trip benefits on WMATA’s website to ensure that payments and transfers are done correctly. Reconcile account to general ledger on a monthly basis;
  • Serve as the frontline contact for employees and for AAUW’s external payroll company in the coordination of all payroll matters;
  • Collect and maintain all employee payroll data such as tax withholdings, earnings codes, and deductions;
  • Coordinate the organization’s time keeping process;
  • Process, audit, and submit payroll on a bi-weekly basis;
  • Assist all employees with the use of any HR related systems while providing exceptional customer service;
  • Conduct periodic audits of payroll, benefits or other HR programs and recommend corrective action, if needed;
  • Plan & coordinate logistics for all HR related events;
  • Manage AAUW’s job boards;
  • Track the status of candidates throughout the recruitment process and respond with follow-up letters at the end of the recruiting process;
  • Initiate candidate background checks;
  • Query the HRIS system to monthly and ad-hoc HR reports;
  • Run ad-hoc reports for department heads as requested.

Requirements

  • Bachelor’s degree in Human Resources required;
  • 3 years’ minimum previous HR and/or payroll administration experience;
  • Maintain current knowledge of applicable state and federal wage and hour laws;
  • Excellent attention to detail;
  • Meticulous organizational skills;
  • Excellent customer service skills;
  • Ability to critically evaluate circumstances, analyze, and problem solve;
  • Ability to work independently as well as in a team environment;
  • Must approach work with an ethical practice respecting complete confidentiality in all situations;
  • Proficient to intermediate Excel, Word and Power Point skills;
  • Ability to plan and manage multiple tasks and priorities and maintain work flow;
  • Ability to follow through on assigned tasks;
  • Ability to input data with reasonable speed and accuracy;
  • Excellent interpersonal, written, and verbal communication skills;
  • Courteous and pleasant phone manners.

Compensation and Location:

The salary range for this position is $48,000 to $55,000, contingent on relevant experience, and it is offered along with a competitive benefits package. The position is based in Washington, DC.
