The HR Specialist educates and assists management and employees in the administration of human resources policies and procedures. Interprets policies and works with appropriate staff to effectively resolve human resources issues. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers.  Provides guidance to managers and supervisors regarding employee leave policies. May investigate and gather information regarding employee relations, Workers' Compensation and FMLA situations. Processes new hire and applicant tracking paperwork. Maintains required documentation, and ensures that all files and policies are administered in accordance with federal and state regulations, and that plan provisions are followed. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry.

 

Key Job Duties & Responsibilities include, 

Benefits Administration

  • Support administration for the company benefit plans, inclusive of enrollment, QLEs and terminations
  • Handle benefits plan questions inclusive of open enrollment, ongoing plan maintenance and documentation
  • Process required documents through payroll and insurance providers ensuring accuracy in all tasks
  • Conducts audits of payroll, benefits and/or other HR programs, recommending corrective action as needed
  • Manage reporting and compliance efforts associated with communicating benefit plans

 

HRIS Administration

  • Assist with testing, documentation, implementation and provide end user support
  • Responsible for overall HR reporting, inclusive of standardized reporting such as headcount and managing system data, running regular employee reports to understand HR trends and metrics
  • Prepare and update documents (i.e. company organization charts, manual, guides, etc.)
  • Handles general employee questions, and directing to appropriate team member
  • Owns HRMS onboarding process (i.e. background checks, new hire information, status completion, etc.)
  • Responsible for accurate maintenance of all electronic employee data/files inclusive of terminations

 

General HR Administration

  • Internal/external human resources customer service functions by answering employee requests and questions
  • Complete, verify, document and maintain I-9, inclusive of online submission and investigation
  • Submit new employee background checks
  • Prepares and manages all employee files, maintaining compliance with applicable legal requirements
  • Keeps records up to date by filing changes in a timely fashion in appropriate location(s)
  • Processes and administers all leave-of-absence requests and disability paperwork, interpreting FMLA and ADA implications as they relate to leaves of absences/disabilities
  • Perform general HR tasks and ongoing projects and initiatives, inclusive of administering COBRA program
  • Review and respond to unemployment claims with appropriate documentation

Requirements

Knowledge & Skills Required

  • Experience in benefits administration, legal compliance issues, employment practices and general HR work
  • Self-starter who can work independently with a strong attention to detail balanced with excellent collaborative skills
  • Excellent organizational and interpersonal skills including strong oral and written communication skills
  • Demonstrated proficiency with Microsoft Office suite
  • Experience managing HRMS systems, including reporting
  • Ability to maintain a high level of confidentiality

 

Education & Experience 

  • Bachelor's degree in HR Management, Business Management or Related
  • 3-5 years of job related experience, preferably in a human resources department
  • Experience with Ultimate Software a plus

  • Self-starter with keen attention to detail
  • Familiarity with all aspects of human resources, particularly employee relations and compliance or benefits and payroll
