Job Summary

The Human Resources Specialist will provide administrative support to the human resources function, supporting all employees. This includes record keeping, file maintenance, and personnel changes.  This person will be heavily involved in all stages of the recruiting process and proactively manage candidate interactions through each phase. This includes prescreening, coordinating phone and on-site interviews, preparing offer documents, making offers, and assisting the candidate through the orientation process.


Essential Job Functions / Duties and Responsibilities

Human Resources


  • Provides confidential administrative support to the Human Resources department.
  • Answers employees’ requests and questions and refers them as needed to appropriate parties.
  • Tracks status of candidates and responds with follow up letters at the end of the recruiting process.
  • Provides input on various aspects of employee communication.
  • Verifies I-9 documentation and maintains that they are current.
  • Coordinates onboarding activities for new hires.
  • Prepares new employee files; maintains existing personnel files according to document retention guidelines.
  • Partners with payroll on changes in positional, pay, and benefit changes as needed.
  • Maintains job postings on electronic boards.
  • Assists employees through internal job posting process.
  • Produces reports, tracking spreadsheets, agendas, and other material as requested.
  • Coordinates monthly employee newsletter.
  • Support of California employees
  • Coordinates employee recognition events and informational sessions.
  • Delivers training in new hire orientation, employee development and compliance.
  • Assists on employee relations matters as needed.
  • Other duties as assigned


Secondary job duties include: other duties as assigned, assist in coordination of company events, run job-related errands.



  • BS degree in a related field with 2+ years of HR experience in a generalist role
  • Experience in full life cycle recruitment
  • Excellent written and verbal communication skills.
  • Proven ability to maintain discretion and confidentiality.
  • Strong Organizational skills.
  • Strong background in MS Office – Word, Excel, and Outlook
  • PHR certification a plus.

  • Must have knowledge of employment laws and regulations
  • Prior management experience or management training is helpful
  • Must be able to work successfully with all levels of staff and management
  • Must be able to work in a team environment as well as independently
  • Ability to prioritize workload utilizing good time management skills
  • Must project a professional demeanor with a positive attitude
  • Must have the ability to make sound, independent decisions and use initiative to accomplish the task at hand
  • Must have proficient PC skills (Excel, Word, PowerPoint, Internet)
  • Must have excellent customer service skills
  • Must have excellent organizational skills; diligent in follow up detail
  • Must be able to follow established policies and departmental procedures
  • Must be able to operate standard office equipment / machinery
  • Must be able to initiate and conduct relevant subject research utilizing various resources (SHRM, DOL)
