Job Summary: The HR Specialist performs a variety of human resources administration functions with an emphasis on payroll. In addition to payroll, the HR Specialist will be responsible for new employee orientation, administering and explaining benefits, entering employee information into the HRIS system and maintaining personnel files. This role will be required to perform other duties as assigned such as office management and some recruiting.


Essential Functions:

  1. Accurately process payroll on a semi-monthly basis, resolve payroll discrepancies by collecting and analyzing information. Provides payroll information by answering questions and requests.
  2. Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.
  3. Prepares paperwork required to place employee on payroll and establishes personnel file. Ensures E-Verify verifications, background checks, and drug testing is performed in a timely and effective manner.
  4. Assists in the coordination of health, dental, life, disability insurance, and 401(k) enrollments.
  5. Participates in providing special events for staff by coordinating schedules, and staying within budget.
  6. Maintains personnel files in compliance with applicable legal requirements. Keeps employee records up-to-date by processing employee status changes in HRIS in a timely fashion.
  7. Maintains the following databases: Harassment Training (McCalmon Group), Applicant Pro, ADP, FMLA Tracker, and HRIS System.
  8. Maintains Headcount reports for Moxtek and PLC, maintains Org Chart, and employee directories as needed.
  9. Maintain current knowledge of Equal Employment Opportunity (EEO) and affirmative action guidelines and laws, such as the Americans with Disabilities Act (ADA).
  10. Assists in hiring process by coordinating job postings on Applicant Pro Web site, posting open positions on On-Line job boards, reviewing resumes, performing telephone interviews and reference checks.
  11. Calculates employee benefit invoices and submits benefit payments for approval by VP, Human Resources & Administration.
  12. Assures compliance with COBRA guidelines by ensuring when employees are terminated that their data is transmitted to the COBRA administrator.
  13. Maintains employee confidence and protects payroll operations by keeping information confidential.
  14. Works with VP, Human Resources & Administration to ensure appropriate HR policies are in place and up to date


Education and Experience:

  1. College degree or equivalent education and experience.
  2. Four years of payroll administration experience preferred with three years' experience in a human resource department.

  1. Ability to maintain a high level of confidentiality.
  2. High level of interpersonal skills to handle sensitive and confidential situations and documentation.
  3. Proficient with the core Microsoft Office Suite (Word, Excel, Power-point, Project, etc.).
  4. Must be able to communicate both verbally and in written form in English
  5. Excellent telephone and oral communication skills.
  6. Knowledge of office administration procedures.
  7. Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
