The Human Resources Assistant provides administrative and clerical support for the department of Human Resources. The Human Resources Assistant acts as a front line representative to employees of the Institute, students and job applicants, while delivering a variety of HR services for employees of the Institute.



ESSENTIAL RESPONSIBILITIES

Responsible for directly providing administrative support to the Director and Managers. Provides consistent office coverage for the Human Resources office as the front office receptionist and greeter.
Answers phones and takes walk-ins to triage employee, student, or candidate questions/concerns (referring questions to the appropriate HR staff member as needed). Owns issues and concerns, and follows through on issues to resolution.
Provides administrative support to Human Resources department staff under the direction / advisement of the Staffing Manager. Acts as a team player to support all operations of the office.
Carries out all administrative functions associated with new hire orientation/on-boarding including setting up appointments, putting together packets, stocking supplies, making copies, conducting follow up with the new employee’s supervisor regarding orientation and on-boarding,
Assists with compliance related tracking, such as creating and updating new hire accounts in the WeComply system.
Supports rewards and recognition programming by coordinating retirement receptions, ordering flowers, baby blankets, producing and distributing “Winter Dining Letters” to new employees with the Institute, assisting with Holiday Party planning and CIA Excellence (including services awards) programming as required.
Satisfies the filing needs of Human Resources, and maintains order in the file room at all times.
Creates new hire files, and conducts follow up on new hire paperwork under the advisement of the Recruitment team.
Handles the terming of employee files, and conducts bi-annual purges.
Provides administrative support for the Benefits function, and acts as back up for administering leave paperwork.
Provides administrative support for the Recruitment function, assisting candidates with job board issues, setting up interview appointments, testing, booking conference rooms, tracking employee exit interview information, etc.
Orders office supplies for HR staff (including scheduling regular paper deliveries), and maintains order in the supply closet. Ensures office and files room are kept organized and tidy at all times.
Sends out all mailings, and completes the office mail run daily.
Any and all other duties as assigned.


Requirements

REQUIRED QUALIFICATIONS Education: Associate’s Degree in Human Resources, Business, Communications, or a related field, or significant experience in lieu thereof.Experience: One (1) to three (3) years of administrative office experience. PREFERRED QUALIFICATIONS Three (3) to four (4) years of administrative office experience, preferably in a Human Resources or legal environment. Experience with integrated Human Resources software (e.g. UltiPro). REQUIRED SKILLS Bachelor’s Degree preferred. Demonstrated ability to show a high level of service responsiveness to internal customers and effective partnership with Human Resources colleagues, as well as the ability to determine when situations require escalation or may be handled independently. Ability to use sound judgment and discretion in handling sensitive employee issues with confidentiality and discretion. Strong teamwork and interpersonal skills; ability to be adaptable, dependable and handle multiple priorities simultaneously. Detail oriented and thorough, with exceptional organizational skills and strong administrative abilities. Ability to take copious notes and transcribe / prepare documents on the fly. Strong computer experience required which must include abilities to work effectively with MS Office Suite products (i.e. Word, Excel, PowerPoint). WORKING CONDITIONS Must be able to work overtime on nights and weekends as required by business needs. Ability to lift and carry up to twenty-five (25) pounds (such as file boxes, binders, etc.). Regular work requires a great deal of sitting and standing for extended periods.
