The Human Resources Assistant performs administrative work in all areas of Human Resources.

 

  • Coordinates background screening of applicants to include drug testing, credit reports, criminal background checks, references and exclusionary records as requested by HR Manager
  • Acts as the liaison between new hires and management regarding new hire’s first day information and new-hire paperwork
  • Monitors the return of new-hire paperwork from the new-hire
  • Sends 90 day evaluation reminders to managers for new hires and ensures its completion on time
  • Assist with data entry of updates in the benefits and payroll system
  • Conducts payroll audits on a monthly basis for the Payroll Manager
  • Prepares Personnel Action Forms for employee changes, including transfers and terminations, and obtains necessary signatures
  • Schedules interviews, meetings, conferences and/or conference calls as requested by management
  • Completes the filing and maintains personnel files; conducts an annual audit on personnel files
  • Enters and updates location information/remote employees in Poster Guard
  • Responsible for collecting signed returned documents for company distributions
  • Conducts audits for employment compliance boards at all locations as changes dictate
  • Confirms proper compliance signage is received by managers when updated
  • Creates and/or follows up on employee access requests for new hires, transfers and terminated employees
  • Acts as the back-up for the NOLA Receptionist
  • Review and verify I-9 documentation and completes E-verify
  • Enters new hires into Netchex, Performance Trac, and You Earned It systems
  • Conducts annual I-9 audits on current employees.
  • Ensures I-9s for terminated employees are properly shredded in accordance with federal regulations
  • Attends Career Fairs and represents the company in a professional manner
  • Responsible for creating and maintaining merit increase spreadsheet during the annual review cycle; works with management to ensure promotions/increases are properly entered in the merit spreadsheet prior to submitting for approval to CEO, CFO and CHRO
  • Creates/opens requisitions in Taleo as needed, ensures applicants are tracked/dispositioned as necessary and requisitions are updated when positions are closed and/or filled on the HR Metrics spreadsheet
  • Post positions on the Intranet and Internet as requested by HR Manager
  • Create and maintain annual and mid-year evaluations in Performance Trac
  • Completes Verifications of Employment as requested
  • Create/update department forms, manuals and other documentation as directed by management
  • Complies with regulatory rules and regulations, evidenced through successful completion of training and demonstrated ability
  • Performs other duties as appointed by management

Requirements

Required:

  • Minimum GED or High School diploma
  • Minimum 2 years’ experience working in an office environment performing clerical and administrative duties
  • Proficient in Microsoft Office
  • Ability to handle sensitive documents and other communications in a professional manner
  • Ability to maintain a high level of confidentiality
  • Excellent interpersonal and organizational skills
  • Excellent verbal and written communication skills
  • Ability to organize and prioritize work
  • Ability to multitask and consistently meet deadlines

Preferred:

  • College degree in business related field
  • Previous entry-level HR experience
  • Advanced knowledge of Microsoft Excel, Word and PowerPoint
