The Human Resources Coordinator supports the Director – Human Resources, California Campus in the successful operations of the Human Resources department by providing administrative efficiency and support. The Human Resources Coordinator performs a variety of Human Resources projects on behalf of Human Resources.



  • Manages the documentation processes for all employee data related to hiring, changes during employment and termination of employment. Ensures that proper approvals are received for all changes.
  • Assists with all recruitment, including the coordination of interview schedules, booking facilities, making     travel arrangements, offers of compensation, etc.
  • Ensures the new hire process is completed in a timely manner and in compliance with established policies and procedures.
  • Coordinates and presents the new employee orientation on a monthly basis. Coordinates logistics for Supervisor/Manager training as required.
  • Acts as Human Resources representative for managers and supervisors requiring generalist support from the Human Resources department.   Coordinates resources from within the HR department to meet requests.
  • Assists the HR Director with the resolution of employee relations issues.
  • Prepares reports at the request of the HR Director.   Ensures that all data is accurate, relevant, and easy for the audience to understand.
  • Performs Human Resources special projects as assigned.
  • Performs audits of departmental required submissions and compliance standards. Follows up with departments as necessary, and brings all outstanding matters through to resolution.
  • Provides on-boarding support for student employees by assisting with the on-boarding functionality in the Access HR system.
  • Reviews all documentation for thoroughness and accuracy, and ensure that documentation meets standards and is corrected by departments prior to being presented to the HR Director.
  • Coordinates special events, conference and meetings which may include booking facilities, making travel arrangements, disseminating invitations and assisting invitees.
  • Any and all other duties as assigned.





  • Associate's degree in Human Resources, Business Administration or a related field, or significant work experience in lieu thereof.


  • One (1) to two (2) years of office experience required.



  • One (1) to two (2) years of working experience in Human Resources strongly preferred.
  • Working knowledge of recruitment, benefits, HR administration, compensation, HR systems and HR laws required.
  • Bachelor degree preferred.
  • PHR / SPHR preferred.
  • Experience with the UltiPro HR system or a similar internet-based HR system an asset.



  • Requires a high level of service responsiveness to internal customers and effective partnership with human resource colleagues.
  • Ability to work independently or in a team environment, and maintain collaborative relationships with all members of the human resource team.
  • Ability to use sound judgment and discretion in handling sensitive human resources issues with confidentiality and discretion.
  • Excellent written, verbal communication and presentation skills required. Must have demonstrated ability in organizational, time management, problem solving and interpersonal skills.
  • Must be adaptable, dependable, with the ability to handle multiple priorities simultaneously.
  • Must have a proven, consistent track record showing the ability to work with all levels within an organization.
  • Display a high level of energy and self-motivation.
  • Strong administrative experience with exceptional organizational skills, including the ability to organize the work of others.
  • Demonstrated capability in both oral and written communications.
  • Ability to take copious notes and transcribe / prepare documents on the fly.
  • Strong computer experience required which must include ability to work effectively with MS Office Suite products i.e. Word, Excel, and PowerPoint.



  • Must be able to work overtime on nights and weekends as required by business needs.
  • Regular work requires standing, lifting, bending and stretching for up to 8 hours per workday.
  • Ability to lift and carry up to 25 lbs. on a regular basis.
  • Must be able to occasionally travel to the CIA’s Greystone location in St. Helena, CA. Must possess own transportation in order to travel between locations during the work day as required.
