In this highly visible role, the Human Resources Coordinator works closely with Human Resources Management on the  operational functions of the department; particularly in the areas of recruitment, on-boarding, HRIS data maintenance, leave management, reporting, evaluations and compensation. Works closely with the HR Specialist, the HRIS Data Analyst and Benefits Coordinator.  The Human Resources Coordinator is a main contact for employees of the Firm on human resources questions. We seek a smart, self-motivated individual interested in working in a fast-paced environment delivering the highest quality of service to our attorneys and staff.

 

RECRUITMENT/EMPLOYMENT
• Assists in coordinating the recruitment process for staff and paralegal positions
• Develops position postings according to position descriptions and qualifications
• Utilizes effective recruiting sources by placing advertisement and networking
• Follows-up on internal referrals
• Pre-screens applicants, administers skills testing, conducts initial interviews and refers candidates to hiring managers based on qualifications, gathers feedback from interviews
• Maintains up to date job descriptions for all staff positions
• Communicates with applicants regarding the status of their applications 
• Arranges for temporary help, when needed by departments
• Conducts reference checks on all new hires
• Sends out in-take notices, employee transfer & departure notices
• Provide back-up support to HR Specialist with coordinating the new hire orientation and technology training schedule for non-legal hires, which includes notification to department personnel
• Conducts new hire orientation reviewing general Firm policies and procedures
• Assist with the coordination of employee relations events such as holiday events, staff appreciation week, staff recognition programs and other employee relations activities
 
HRIS MANAGEMENT/REPORTING
• Work with HRIS Data Analyst in entering all employee changes (including new hires, promotions, salary, titles, address, status, etc.) in HRIS and other HR-related systems
• Interact with Payroll Department to ensure the smooth flow of documentation
• Adhere to the (4) different pay cycles to ensure HR and benefit updates are processed timely for payroll
• Maintain multiple systems accurately, including HRIS and online time and attendance program. 
• Maintain staff  leave balances, including adjustments and termination leave calculations
• Complete unemployment and employee verification requests
• Prepare reports and statistics of workforce for management use
• Assist with the preparation of EEO, Affirmative Action and other compliance reports

COMPENSATION/PERFORMANCE EVALUATIONS
• Compile data needed to participate in compensation surveys
• Prepare market data reports for all departments based on survey information
• Assist with the yearly staff evaluation set up and monitoring process
• Ensure Wage Theft Prevention Notices are prepared for all pay changes

 

Requirements

The successful candidate will meet these minimum qualifications

  • College degree in business related field with high GPA. HR coursework highly desired
  • Minimum 5 years experience in HR department with progressive responsibilities
  • Strong recruitment background for staff level positions in a professional services environment required
  • Demonstrated HRIS- experience working with ADP Workforce Now or other HRIS required
  • Excellent computer skills with knowledge and ability to work with proficiently with Microsoft Office Suite; Strong Excel skills highly desirable
  • Excellent written and verbal communication skills
  • Responsible, Professional and Self-Motivated
  • Ability to maintain confidentiality
  • Detail oriented with ability to handle multiple projects simultaneously and meet deadlines
