We are seeking an ambitious and driven individual to join our team as a HR/Training Associate. The HR/Training Associate is a hands on role that will serve as the first point of contact for clients on all HR and Training matters. Reporting to the Assistant Vice President, Finance Administration, the HR/Training Associate will provide confidential administrative support, research, and analysis for the Finance division, a $37 million operation with 300+ FTE’s. Applicants must be highly organized, resourceful, extremely detail – oriented and take initiative, regardless of the task at hand. In addition, the successful candidate must be energetic, proactive and have a can – do attitude.

Position Responsibilities

Leave Administration:

  • Partner with the Leave Administration Team to manage various employee leave programs, including workers’ compensation claims
  • Communicate leave options to employees with a balance of information & empathy 

Employee Engagement & Talent Metrics:

  • Administer and manage the creation of all employee surveys, including tenure-check in and exit surveys
  • Track metrics, analyze data, and create dashboards related to employee engagement data
  • Identify organizational effectiveness solutions for employees, make recommendations for improvements, and share feedback with senior leadership
  • Organize and create employee engagement activities such as a regular newsletter, lunch and learn series, and recognition events

Onboarding:

  • Conduct all Finance employee new hire orientations
  • Administer and process paperwork for all new hires and transfers

Temporary and Short Term Staffing – Recruitment

  • Partner with hiring managers to develop position scopes, reviews resumes, interviews applicants, and develops a short list of candidates
  • Track and manage temporary employee hours worked to ensure compliance with University policies as well as state and federal labor laws

Operations:

  • Distribute and track documents, complete and process paperwork for personnel actions such as new hires, salary and/or title changes, upgrades, terminations, leaves of absence etc.
  • Schedule and coordinate meetings, events, conferences and manage calendars
  • Prepare meeting materials, presentations, correspondence, response to inquiries and reports
  • Research and resolve problems using the PeopleSoft system and with HRPC, Payroll, Labor Relations and Benefits;
  • Collect time and attendance data for division support staff and prepares bi-weekly payroll for approval
  • Monitor payroll suspense across the Finance division and ensures all employee salaries are appropriately expensed from an accounting standpoint
  • Update and maintain organizational charts for the division

Training

  • Assist the Associate Director for Training with the development and delivery of live and web-based training programs related to the policies, procedures and systems managed by the Finance division, both in-house and University-wide
  • Manage the class scheduling, user sign – up, marketing and website content for live training courses
  • Assist with the transition of all online content to the University’s new Learning Management System while ensuring a seamless transition for end-users
  • Manage the administration of the of the user training data associated with the Financial Systems Security Application process, including notifying the user community of training certification status
  • Respond to customer queries via email and service delivery interface (ServiceNow) and runs related system and application reports
  • Compile raw training content and written materials to be used for the creation of class tutorials, web content and e-learning modules
  • Assist with review and associated updates of the Finance Gateway website content; other related duties and special projects as assigned.

Requirements

Bachelor’s degree and/or the equivalent, with at least three years of related experience required, including previous human resources generalist and/or recruitment experience.
