Job Description

The Management Support Specialist is responsible for comprehensive, high-level administrative and operational support. Performs assigned support tasks in the areas of Human Resources, Administration, Accounting, Operations, Sales, Customer Services, and Facilities / IT departments. Requires thorough understanding of each department and procedures. Responsibilities will vary in accordance with each department / task and may include; preparing confidential or general documents / reports, reviewing / analyzing and validating information, assistance with event / program coordination, handling miscellaneous urgent tasks, processing insurance requests, following up on past due invoices, gathering signatures for contracts / documents, assistance with vendor management, processing new contract / renewals, creating presentations, calculating / evaluating numbers, generating commission reports, and other miscellaneous tasks as assigned.

Utilize previous Human Resources support experience to assist all company departments.

Demonstrates required skills; adapts to new technologies; troubleshoots technological problems; uses technology to increase productivity; keeps technical skills up to date.

Ability to read and respond to a high volume of emails, texts, phone calls, etc. each day.

Dependability; follows instructions, responds to managements direction; takes responsibility for own actions; keeps commitments; commits to long hours of work when necessary to reach goals; completes tasks on time or notifies appropriate person with an alternate plan. If completed task needs review and / or approval from another teammate / manager, complete the task well in advance to provide the other team mate a reasonable amount of time review and / or approve.

Take detailed notes at every meeting including any action steps and due dates.

Supervisory Responsibility


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time position. Candidate must be able to work a minimum of 40 hours per week.  Part time position is available for qualified candidates DOE.

Candidate reports to work at the Montebello Office

Required Education and Experience

Bachelor’s Degree or minimum of 2 years of experience

Preferred Education and Experience

3 years of experience
