These positions serve as Medical Leave Analysts under direction of the Human Resources Manager 2 in the Centralized Human Resources Medical Team, and will be points of contact for Family Medical Leave Act (FMLA) and non-FMLA medical absence inquiries and determinations for Department employees.


-          Assist employees with paperwork, send required notification letters, review and determine eligibility for FMLA including certification/recertification; ensure compliance with FMLA policy.

-          Provides communication throughout the FMLA leave application process, period of leave and return to work.

-          Create and maintain a database to monitor employees on leave, status for return to work, and leave balance to ensure compliance with the program policy.  Create and maintain employee leave files.  Develop and prepare reports for management.

-          Coordinate with employee and supervisors to ensure proper timekeeping. Consults with Benefits department, as needed, to coordinate changes to benefits as a result of employee's leave.

-          Corresponds with medical professionals regarding medical questionnaires to assess employee work limitations.

-          Attends meetings, workshops, and professional development trainings to maintain up to date knowledge of relevant federal and state laws, regulations, and policies.


Knowledge of:

-          FMLA rules and regulations.

-          Short Term/Long Term disability; forms, documents required for medical actions.

-          Arizona Department of Administration (ADOA) and DES rules, policies and procedures related to work assignment and ability to perform essential functions as defined by Position Description.

-          Human Resources Information System (HRIS); office equipment and their uses/functions.

-          Computer software programs, Microsoft Office (Word, Excel, Access, Outlook), and Internet explorer.

-          DES organizational structure and the services provided and personnel processes and procedures.

Skill in:

-          Establishing and maintaining effective interpersonal relationships.

-          Research and analyzing documentation to determine proper action required.

-          Communicating effectively both orally and in writing with all levels of personnel.

-          Prioritizing work to achieve maximum results and quality output; providing excellent customer service to all levels within the organization.

Ability to:

-          Plan and make independent decisions

-          Establish priorities and complete actions timely and accurately

-          Work in a fast paced environment and change work agenda/priorities.

-          Interpret policies and procedures clearly and assure content is understood.

-          Maintain confidentiality regarding medical records and documents.


-          At least three years of progressively responsible experience in Human Resources and Family Medical Leave Act (FMLA). 


-          Have a current, valid state issued driver’s license appropriate to the assignment. Employee is subject to driver’s license record checks and must maintain an acceptable driving record, valid motor vehicle insurance and registration, and must complete any required training (see Arizona Administrative Code R2-10-207.12)..

-          Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees.

-          Successfully pass background and reference checks. Employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.
