Position Summary: 

The Onboarding Employee Experience Specialist (OEES) is responsible for ensuring that all incoming employees receive exceptional customer service and a seamless transition into the organization. The OEES will multitask while utilizing exceptional attention to detail to see the applicant through the process from application to orientation. This position will work with several departments throughout the organization to ensure managers, appropriate staff, and the HR Director are apprised of the candidate status and that all moving parts are in position for a successful first day.


In addition, the OEES will ensure a smooth transition from candidate to employee by consulting with hiring managers on compensation structures and start dates; ordering, tracking, and reviewing background screenings, credit checks, and appropriate licensing; preparing and producing offer letters and other necessary new hire paperwork; and completing on-boarding procedures to. This position will be accountable for the execution and delivery of the employee onboarding experience.


Essential Job Functions:

Specific tasks will include, but are not limited to, the following: 

  • Request, track, and review background and credit checks.
  • Collaborate with the Licensing department to ensure Sales candidates are properly licensed and approved for hire.
  • Maintain the Onboarding Activity Log and keep hiring managers and the HR Director apprised of the progress of each new hire.
  • Ensure all Recruitment Process Checklist activities are completed and documented, including but not limited to preparation of correspondence, confirmation/regret letters, and pre-adverse and adverse impact letters (when needed).
  • Create and ensure timely delivery of candidate offer letters and new hire paperwork.
  • Ensure new hires’ IT is setup and passwords are established prior to their first day.
  • Maintain recordkeeping and reporting systems in accordance with established practices.
  • Conduct and oversee post-offer follow-up and close-out activities.
  • Liaison with Executive Development team and Relationship Manager to ensure a seamless onboarding experience for new branches (up to 20 people) and individual key sales recruits.
  • Plan and facilitate new hire orientation from overseeing travel and accommodations to organizing corporate presenters.


Required Job Functions:

Specific tasks will include, but are not limited to, the following: 

  • Must be versed in Surefire (document sharing), e-signature software, MS Office, HRIS software, and Outlook.
  • Partner with and develop collaborative relationships with senior management, mortgage licensing group, remote management groups, and talent acquisition teams to onboard.
  • Draft offer letters and ascertain worthiness of letters of explanations using exceptional attention to detail
  • Effectively communicate, work with, and build relationships with all levels of constituents including culturally and linguistically diverse staff members and external candidates and/or vendors, while operating in a fast-paced customer service driven environment.
  • Perform data entry as needed.
  • Additional tasks as assigned.
