POSITION SUMMARY

 

Under supervision from the Controller, and working closely with the Finance and Human Resources Departments, the Payroll & Human Resources Coordinator provides support in functional areas of human resources, payroll, and time collection. The position will administer payroll policies and procedures pertaining to time collection, responsible for compiling, posting and making changes to employee time & personnel records, payroll data and will serve as the back-up in the processing of NFWF’s semi-monthly payroll. This position also has general HR responsibilities associated and other duties as assigned.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  

Payroll Responsibilities:

 

  • Collect all departmental time tracking sheets in Deltek Time and Expense ensuring that they are completed accurately. Contact various department supervisors for any missing or incomplete timesheets.
  • Train NFWF staff on completing timesheets.
  • Calculates leave accrual and maintains accrued leave records.
  • Generate internal management reports from ADP WorkForce Now and Deltek Costpoint software.
  • Enter new hires, terminations & all relevant changes to employee records in Deltek Costpoint system.
  • Execute Deltek Time and Expense processing and interface with Costpoint.
  • Assist in the preparation of monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for all employees.
  • Assist in the preparation of relevant journal entries, general ledger account reconciliations and other necessary support for month-end close.
  • Answer timesheet inquires and resolve all discrepancies as they arise.
  • Assists with audit requests and other reviews.

 

 

Human Resources Responsibilities:

 

  • Work closely with the Human Resources Department to coordinate NFWF’s Tuition Reimbursement, Student Loan Repayment and Professional Development benefit programs.
  • Updates all staff changes on the NFWF portal (SharePoint).
  • Creates all new hire orientation and benefits packets.
  • Assist HRIS Manager with data entry into ADP Workforce Now as needed.
  • Assist Facilities Manager with office moves and reception as needed.
  • Files documents in employee files and other files, as applicable.
  • Processes monthly billings from certain providers.       Reviews billings for accuracy and advances for payment in a timely manner. Resolves discrepancies with carriers and payroll.
  • Provide administrative support to Vice President of Human Resources.

 

 

SECONDARY DUTIES AND RESPONSIBILITIES

 

  • Acts as payroll back-up in absence of the Payroll Manager, as necessary.
  • Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed.

 

Requirements

MINIMUM QUALIFICATIONS (EDUCATION, EXPERIENCE, SKILLS)

 

  • Bachelor’s degree in Business Management or related field or equivalent experience and at least two years progressively responsible experience in multiple Payroll/Human Resource functions.
  • 1-2 years of ADP Workforce NOW and Deltek Costpoint preferred.
  • Strong proficiency in Word and Excel and demonstrated skills in database management and record keeping.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations and information. Position continually requires demonstrated poise, tact and diplomacy.
  • Strong written and oral communications skills.
  • Ability to complete multiple tasks and high volume of work on deadline.
  • Very strong attention to detail and ability to edit and proofread.
  • Creative outlook with a problem-solving attitude.
  • Excellent time management, organizational, and follow-through skills.
  • Able to respond quickly and accurately to requests for information, ability to provide excellent customer service a must.
  • Flexibility in a rapidly changing environment.
  • Positive attitude and ability to work in a team.
