The Staff Accountant works to advance Gibney Dance as part of a coordinated Finance Team consisting of the Finance Consultant and part-time Finance Associates/Assistant. Reporting to the Deputy Director of HR & Culture and the Finance Consultant, the Staff Accountant holds an integral role in managing the overall financial performance of the organization.

The Staff Accountant manages and maintains financial data and documents from all internal and external sources (staff, vendors, funders, etc.); enters and maintains data in the accounting system; administers payroll; performs bank reconciliations and produces financial reports for the Finance Consultant. The Staff Accountant has expert knowledge of all aspects of Gibney’s financial software and data systems and furthermore ensures that data is accurate, complete, and maintained. The ideal candidate is analytical and methodical, with experience in payroll administration and deep knowledge of payroll regulations and compliance.   • Codes invoices, vouchers, expense reports, check requests, etc., with correct codes and conforming to standard procedures to ensure proper entry into Quickbooks.
  • Initiates bill payments via ACH, check, wire, and credit card in compliance with the Gibney’s policies and procedures. 
  • Handles all vendor correspondence via phone or email.
  • Attaches the corresponding check copies to vendor invoices with all supporting documentation.
  • Enters bills using Quickbooks financial software, coding by account and class.
  • Assures that the CEO receives and signs off on all expenses.
  • Manages credit card accounts: monitors spending, transfers funds, forwards monthly reports to users for coding.
  • Manages debit and credit card accounts.
  • Administers bi-weekly payments to Gibney teachers.
  • Pays bills, cuts checks, facilitates signing and disbursement.
  • Investigates and resolves problems associated with invoices and purchase orders.
  • Prepares batch check runs matching invoices and supporting documentation and scans into accounting files.
  • Oversees purchase orders; enters and tracks in Quickbooks.
  • Assists in generating budget reports.
  • Communicates with programs and departments regarding bookkeeping issues.
  • Creates, prints, and mails1099s.


  • Enters admissions and donation income from database and match to chart of accounts.


  • Executes payroll; enters and maintains accurate employee data in ADP Workforce Now and processes payroll in a timely and accurate manner.
  • Reconciles payroll accounts and related reports on a semi-monthly, monthly, quarterly, and yearly basis.
  • Analyzes payroll data and uses the ADP tools to streamline workflow and drive continuous improvement of processes.
  • Generates reports and develops ad-hoc reports.
  • Performs regular payroll audits of payroll taxes deducted, paycheck amounts, rates, contract changes, garnishments, PTO, FSA, and other adjustments to ensure the accuracy of all payroll data.
    • Responds to employee inquiries regarding payroll related matters.
  • Tracks payroll changes, additions, deductions, error corrections, and reimbursements.
  • Creates and processes monthly invoices: Transit Check, Benefits, Pension, Disability etc.


  • Administers TransitChek program.
  • Creates Worker’s Compensation/Disability Reports for annual audits.
  • Manages all Worker’s Compensation claims.
  • Oversees Insurance administration.
  • Liaises with insurance brokers and insurance companies.
  • Creates and submits monthly insurance summary of artists and renters.
  • Requests Certificates of Insurance for liability insurance.


  • Reconciles statements; maintains accurate account balances and detailed records for auditing.
  • Monitors cash flow and transfers in bank accounts.


  • Prepares schedules and materials for the annual audit.
  • Reviews detailed reports to identify misclassifications.
  • Assists with the on-site audit.
  • Records adjusting journal entries to close out the fiscal year.

The model Staff Accountant candidate will possess the following experience and qualifications:

  • Degree in business administration, accounting, or finance required.
  • 3+ years of experience in payroll, and/or a significant understanding of payroll processing for both exempt and hourly employees.
  • Thorough knowledge of payroll & legal compliance (EEO, FMLA, FLSA, ADA, Workers’ Comp, Unemployment, etc.)
  • Experience with ADP; preferably with Workforce Now.
  • Strong problem-solving skills and analytical ability; experience with process improvement strategies strongly preferred.
  • Experience working in Quickbooks or similar financial software.
  • Ability to multi-task, meet deadlines, and follow up on pending issues.
  • Proficiency in Microsoft Office, particularly Excel.
  • A proven track record as a reliable and responsible employee.
  • Excellent verbal and written communication skills.
  • Professional and ethical work behavior with ability to maintain the highest level of confidentiality.
